Cleanaway is Australia’s industry leader in waste management services, and recognised as the industry forerunner and innovator throughout the world.
Waste management is a highly regulated business and organisations are required to provide detailed reporting to regulatory authorities covering all aspects of the creation and disposal of waste. Cleanaway had been typical of many organisations in that its vital customer information was housed on numerous directories and hard drives and reported via multiple spreadsheets.
The company’s CIO, Graham Owen saw an opportunity to reduce cost, improve information management and create significant competitive advantage through implementation of a content management system incorporating workflow.
Netcat Solution
Cleanaway selected Netcat WCM from Netcat.biz. Netcat WCM delivers to Cleanaway its key requirements in terms of:
Internal Process and External Business Integration
Netcat WCM enabled Cleanaway to fully integrate its internal processes with its external business, where previously these had been separate and information housed in disparate systems. Netcat CMS has enabled Cleanaway to simultaneously smooth information flows, standardize its processes, tailor its offerings to individual clients, while cutting costs.
Creation of a “Virtual” Knowledge Store
The Netcat solution created a “virtual knowledge store” where “pointers” to the data could be stored centrally. With dozens of disparate systems, a centralised repository of corporate knowledge would be prohibitively expensive. With Netcat CMS data can be stored at the object level in its original repository – files or databases – tagged with metadata – and aggregated on the fly as required.
Migration of Content from Multiple Applications
Netcat WCM identifies all the information that would ultimately reside in the virtual knowledge store. Netcat manages data in any format – word, excel, jpg, mpg, PowerPoint etc and attributes properties to each piece of information, including format, location, ownership, and maturity. The software then automatically converts this into a web friendly format. Cleanaway had information residing in multiple applications in multiple locations, and Netcat enabled this information to be identified for the virtual knowledge store regardless of format.
Incorporation of Workflow
Incorporation of business process was critical to Cleanaway. Netcat WCM enables processes to be embedded, removing variability, and reducing costs. Netcat WCM attaches workflow requirements to content ensuring that as information moves through the organisation, the required approvals are obtained.
Benefits
Netcat WCM has transformed information management and customer interaction through this CMS/Workflow implementation. From disparate, disconnected information repositories prone to errors and slow to generate vital customer information, the Company has now moved to a web based system that has reduced costs, reduced errors and radically improved customer service.
Says CIO Graham Owen – “Our clients value our new capability to report quickly and accurately, and to meet their individual requirements. Our people like the fact that the knowledge store has almost all company info. They don’t even know that it’s sourced from numerous systems. Most of all they like the resultant ability to truly collaborate with our clients”.
